**Records Officer**
Iron Mountain is seeking a detail-oriented Records Officer to join our Data Centre Operations team.
In this role, you will be responsible for the comprehensive end-to-end lifecycle management of physical and digital records, ensuring absolute compliance with National Archives of Australia requirements and customer policies.
You will work closely with a dedicated team of information management professionals focused on delivering secure, high-quality archiving, digitisation, and compliance solutions for our valued clients.
**What You'll Do**
In this role, you will:
+ **Lifecycle Records Management:** Appraise, sentence, archive, and manage physical and digital records consignments within the Electronic Documents and Records Management System in strict accordance with National Archives of Australia guidelines.
+ **Digitisation and Quality Assurance:** Execute high-quality scanning, digitisation, and Scan on Demand services across mixed media records, performing rigorous quality assurance checks before destroying physical counterparts.
+ **Compliance Auditing:** Conduct comprehensive monthly audits of active records and lead annual reviews of sentenced records stored at offsite facilities.
+ **Secure Disposal:** Oversee and validate the authorized destruction of sentenced records, ensuring complete alignment with customer protocols and regulatory standards.

In this pivotal role, you will serve as the central hub for our warehouse administrative activities. You will support the end-to-end sales order process, coordinate driver run sheets, manage billing data, and liaise directly with customers and internal teams to keep our operations moving smoothly.
**What You'll do**
In this role you will:
+ **Logistics & Driver Coordination:** Organize driver run sheets for both BAU (Business-As-Usual) and refresh jobs; compile the driver run master sheet for afternoon QA team checks; and coordinator driver collections.
+ **Workflow Management:** Set BAU jobs from release order to scheduled; create sales orders; and complete delivery plans once jobs are ready to reduce team workload.
+ **Administrative & Paperwork Support:** Collect and organise refresh paperwork from the warehouse for office processing. Book refresh collections and coordinate logistics with relevant stakeholders.
+ **Billing & Reporting:** Capture billing information accurately within required timeframes; consolidate the Wireless Tracker end-of-month spreadsheet; and prepare monthly report for the Billing team.
+ **Customer & Stakeholder Liaison:** Act as a central point of contact for operational queries; respond to LBS queries; and professionally manage customer updates and job escalations.
