Position Summary

The Radiology Clinical Coordinator plays a crucial role in the efficient operation of the Radiology Department

This role involves:
•    This position involves managing and coordinating inquiries received from various sources, including switchboard, referring and enquiring clinicians/patient navigators and other stakeholders.
•    The Radiology Clinical Coordinator is a key position with responsibility for managing the flow of information within the department, ensuring that inquiries are promptly and accurately addressed by directing them to the appropriate personnel, including radiologists, the administrative team, or the radiographers.
•    The Radiology Clinical Coordinator will escalate any delays to enquiries or concerns to the Medical Operations Manager or the Medical Director of Cancer Imaging.
•    This role requires strong organisational skills, excellent communication, and the ability to work effectively in a fast-paced healthcare environment.
•    This position involves working with the Radiology Information System (Karisma), Picture Archiving and Communication System (PACS) and Epic (Electronic Medical Record) to help facilitate enquiries.
•    Inquiry Management:
-Receive inquiries via phone, email, EPIC secure chat and in person from either switchboard, referring clinicians (within Peter Mac or from our Parkville Precinct Partners) or other staff members.
-Ensure inquiries are documented and tracked for resolution with appropriate follow up time.
-Provide initial information and assistance to enquiries whenever possible.
•    Coordination and Distribution of enquiries:
-Effectively distribute inquiries to; the appropriate radiologist according to the departmental roster with, where-ever possible, matching radiologist skillset and the enquiry, the administrative (if bookings related), nursing or radiographer team.
-Prioritise and schedule inquiries based on urgency and departmental guidelines.
-Maintain clear communication channels to ensure prompt responses and resolution.
•    Work with the administrative team to assist with appointment scheduling
-Assist referring clinicians and work alongside with the administration team in scheduling scans for patients, coordinating with relevant staff to ensure optimal scheduling efficiency.
•   Collaboration:
-Work closely with radiologists, radiographers, nursing and administrative team, Medical Operation Manager and the Medical Director of Cancer Imaging to facilitate the seamless operation of enquiries for the Radiology Department

Quality and Improvement:
•    Assists the Medical Operations Manager and the Medical Director of Cancer Imaging to undertake required quality initiatives, audits, risk management according to the NSQHS Standards.
•    Assists with conducting or supporting clinical audit activities required by the Cancer Imaging Executive team
•  Assists the Cancer Imaging Executive team with the coordination of policy development and review
•    Assists with staff education and training, quality improvement and risk management.
•   Assists the Medical Director of Cancer Imaging and Medical Operations Manager on achieving Key Performance Indicators related to the Medical Staff of Cancer Imaging.

The Radiology Clinical Coordinator is a vital part of the Radiology Department, ensuring that enquires are handled efficiently within an appropriate timeframe. This role demands a dedicated and proactive individual who can contribute to the overall success of the department and provide essential support to patients and healthcare professionals.

Essential Requirements

•    Previous healthcare experience is preferred.
• Healthcare qualifications (minimum or currently in progress a bachelor’s degree or equivalent) and experience
•    Strong customer service skills, able to communicate effectively and respectfully with patients and staff
•    Strong organisational and multitasking abilities and demonstrated ability in undertaking consultation with a broad range of stakeholders
•    Attention to detail and accuracy and ability to work in a fast-paced and sometimes high-pressure environment.  
•    Demonstrated skills in the use of IT systems, preferably in a health care setting
• Well-developed administrative skills, including the ability to plan workload, prioritise conflicting demands and manage own time

1. Provide exceptional customer service •   Provide a high level of customer service to patients, carers and staff
•    Obtain the required information from referrers, and staff in an efficient and courteous manner
•    Respond to referring clinicians and/or staff queries in a timely and respectful manner
•    Ensure phone, email and direct enquiries are triaged to the correct destination
2. Monitor and improve Radiology performance    •    Assist the Medical Director of Cancer Imaging and Medical Operations Manager to trouble-shoot any clinical issues experienced by the work group in a timely manner to ensure quality is maintained
•    Manage patient records in accordance with hospital policy and Data Accountability Framework to maintain data integrity at all times
•    Assist the Medical Director of Cancer Imaging and the Medical Operations Manager to ensure that the performance of the team meets the standards required by the organisation through a regular system of measuring and monitoring performance
•    Assess situations or information, clearly and accurately communicate information, to the referring clinicians under the guidance of the Radiologist and the Radiology Team.
3. Support the work of the team and department    •    Work cooperatively as part of the team and assist other areas and staff as necessary
•    Maintain relationships with internal and external service providers supporting Peter Mac patients
4. Provide reports to the Medical Operations Manager and Medical Director of Cancer Imaging as requested and maintain key relationships    •    Provide routine and/or ad-hoc reports as requested by the Medical Operations Manager and the Medical Director of Cancer Imaging.
