# Job Summary:
In this role, you will establish, plan, control and direct the Project scope of the document / record management program and some administrative activities.
# Major Responsibilities:
+ Support the setup and maintenance of the Electronic Content Management System (ECMS) based on project needs, to register, control, distribute, transmit, file, and archive project records for a team.
+ Assist in the planning of the scope of document/records management work, establish priorities, and train personnel to perform their assigned duties for project.
+ Support the development of and implementation of the records retention and turnover plans.
+ Support quality assurance audits, internal technical reviews, client reviews, and external audits.
+ Manage project access to the ECMS by creating accounts and inviting users to the ECMS, perform associated tasks with ECMS administration, and train others in these tasks.
+ Ensure supplier and customer documentation is processed within established schedule standards.
+ Prepare routine documents using standard word processing, spreadsheets, or other office software as needed to support work activities.
+ Plan, organize, and implement systems for efficient document processing, including design and supplier documents, communication, and all other project document types.
# Education and Experience Requirements:
+ Must have a minimum of 5 years project-based experience managing a document/records management program with focus on configuration of the ECMS, work processes, and coordination of project workflow with other entities. Experience must have been obtained within the past 7 years.
+ Must have a minimum of 3 years in a supervisory or leadership role managing a document/records program team. Experience must have been obtained within the past 5 years.
+ At least 2-years' practical advanced experience using Aconex.
# Required Knowledge and Skills:
+ Must have the right to work in Australia without sponsorship.
+ Must be able to obtain a security clearance. (requirement is to be an Australian National or have obtained full Australian residency)

# Project Overview:
The Ar Rjum Project comprises a green field gold project with three open pit mining operations with associated waste dumps and ore stockpile, a processing plant, tailings management facilities, and supporting infrastructure including water supply, power supply, maintenance facilities, offices, temporary and permanent accommodation village.
The Project is situated within the Central Arabian Gold Region, approximately 200 km north-east of Taif towards Riyadh and about 26 km South of Al Mouwayh, which is a small town situated on the Jeddah Riyadh highway.
# Job Summary:
This role manages the Document Management program for a Mining & Metals Project. Under the direction of the Project Manager, the document manager will develop and then manage the project document/records and perform administrative tasks in accordance with agreed and applicable governance documents. This role will work closely with the client Document Management team to develop and implement the required processes and systems.

Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership"_
# Major Responsibilities:
+ Utilizes Aconex, to manage accounts and to register, control, distribute, and transmit design documentation received from Project Administration
+ Leads and manages a project document management team to analyse, recommend, map and implement information and documentation work processes and data flows through to full customer turnover
+ Works with the project team, contractors, suppliers and other stakeholders to ensure procedures and work processes are delivering the level of information required
+ Leads the training, implementation, assessments and improvements associated with document management in an Aconex environment
+ Develops metrics to measure the efficiency and effectiveness of processes and prepares monthly progress reports for Management teams
+ Establishes procedures and work instructions for document development, distribution and retention. Ongoing implementation, development and improvement of workflow processes
+ Creates quality monitoring methods and processes to monitor data entry accuracy
+ Interfaces with internal and external customers on a routine basis
+ Establishes records formats as required by contract and storage requirements/methods
+ Perform other duties as directed by Bechtel management.
+ Coordinates development of project turnover and archival plan.
# Education and Experience Requirements:
Industry experience gained through a recognized certificate or degree in a STEM-related field, and/or specialized courses in document management, Engineering or related fields, and/or 9-12 years work experience.
# Required Knowledge and Skills:
The Document Management Lead role requires a strong blend of leadership, stakeholder management, analytical and technical skills. Some key attributes you bring to this role include:
+ Proficiency and experience in project document management, including procedural work, customer interfaces and records management
+ Experience in the training and supervision of personnel
+ Good oral and written communication skills
+ Knowledge of budgeting and cost management
+ Strong organizational skills
+ Knowledge of Bechtel or EPC industry and regulatory standards for record keeping
+ Working knowledge of computer programs for records tracking, archival, retention, and storage
+ Familiarity with quality assurance programs and DRIM requirements.
