About the Role

We’re looking for a passionate Program Facilitator to lead one of our 20-week group programs. This role goes beyond teaching — it’s about designing meaningful learning experiences, inspiring personal growth, and helping participants develop the skills they need to move towards employment, independence, and a fulfilling adult life.

You’ll work closely with a Program Assistant and be supported by a strong, multidisciplinary team who bring expertise across education, employment, therapy, health, and creative industries. You’ll be guided by the Program Manager and play a key role in shaping the learning environment at Co-Hive.


What You’ll Do

As a Program Facilitator at Co-Hive, you’ll lead the full cycle of program delivery — from design and planning through to facilitation and review. You’ll inspire and empower participants, build strong relationships, and ensure your sessions are inclusive, practical, and aligned to their individual goals.

Your key responsibilities include:

Program Design & Preparation

  • Plan and structure your 20-week program around clear participant goals and learning outcomes

  • Create engaging, inclusive sessions that combine theory with hands-on experiences

  • Integrate creative tools and digital technologies (e.g., Canva, Google Workspace, AI) to enhance learning

  • Adapt content to meet the diverse needs, interests, and support requirements of your group

Program Delivery

  • Deliver high-quality, motivating sessions that promote independence, confidence, and real-world skill development

  • Foster a fun, safe, and collaborative learning environment

  • Use a mix of on-site and community-based experiences to bring learning to life

  • Promote active participation and peer connection in every session

Team Leadership & Collaboration

  • Lead and mentor your Program Assistant(s) to ensure smooth session delivery and strong participant support

  • Share your planning and vision, delegate tasks, and provide constructive feedback

  • Work collaboratively with other facilitators and the Program Manager to deliver high-impact programs across the hub

  • Contribute to a positive, connected workplace culture built on shared values

Progress Monitoring & Reporting

  • Track participant progress and outcomes using Co-Hive’s internal systems

  • Provide feedback to participants and families throughout the program

  • Evaluate the effectiveness of your program using data and participant feedback

  • Maintain clear and accurate documentation to meet NDIS reporting and compliance standards

You’ll be supported by a highly experienced Program Manager and a passionate, skilled team. You’ll never work in isolation — Co-Hive’s collaborative model ensures you’re always surrounded by people who want to learn from each other, share ideas, and make a lasting difference.

Program Contribution & Participant Support
Support the delivery of structured group programs across a variety of interest and skill-building areas
Lead small-group and 1:1 activities such as travel training, digital skills, budgeting, or goal-setting

About the Role
As our first dedicated Finance Manager , you’ll play a pivotal role in driving Co-Hive’s financial sustainability and scaling our systems for growth. You’ll be responsible for:
Financial oversight across all departments and programs
Strengthening our NDIS billing and invoicing processes
Supporting families with funding quotes and NDIS reviews
Managing grants and donations
Building internal capacity through clear systems and team development
Ensuring compliance and responsiveness in a rapidly evolving NDIS landscape
You’ll work closely with the Head of Systems and Finance, the Intake and Community Engagement Manager, and other cross-functional teams across the organisation. You’ll also be supported by a highly experienced fractional CFO, who will work with you on high-level planning, forecasting, and strategic decision-making as Co-Hive grows.
Key Responsibilities
NDIS Finance Leadership
Build strong relationships with NDIS Plan Managers, participants, families, and support networks to resolve billing and invoicing issues
Provide clear and timely quotes for NDIS reviews and changes of circumstances, working closely with the Intake and Community Engagement Manager
Stay up to date with NDIS pricing and policy changes, and implement updates immediately across internal systems and communications
Document and improve internal systems for claiming, invoicing, and financial tracking
Track individual participant budgets and funding usage to ensure accuracy and compliance
Financial Planning & Control
Lead monthly and quarterly financial reviews, reporting on revenue, costs, utilisation, and performance indicators
Deliver insightful financial reports and forecasts to inform strategic decision-making
Manage all accounts receivable and payable
Ensure accurate payroll processing in line with SCHADS Award requirements,
Ensure compliance with all financial regulations including BAS, FBT, AASB standards, and internal policies
Oversee and support external audits, grant acquittals, and financial reviews
Identify opportunities for automation and improved efficiency across financial operations
Grants & Donations Management
Manage the allocation and tracking of grant and philanthropic funds, ensuring transparent usage and timely reporting
Support the CEO and leadership team in ensuring funds align with program outcomes and participant impact
Collaboration & Capacity Building
Stay across all Co-Hive programs to confidently speak to invoicing, service delivery, and participant plans
Build financial understanding and capability across the wider team
Provide clear, solutions-focused communication to resolve queries from staff, families, and external providers
Contribute to a positive and efficient team culture by improving shared systems and documentation
Leadership & Team Oversight
Lead and support a small internal and offshore finance team
Model professionalism, integrity, and high standards
Collaborate with the fractional CFO to strengthen high-level financial strategy, planning, and risk management
About You – Skills & Experience
You are calm under pressure, solutions-oriented, and driven by a genuine desire to improve systems and support people. You combine a strong financial brain with an empathetic communication style and enjoy working at the intersection of people, process, and impact.
Mut Have:
A bachelor’s degree in Accounting, Finance, or a related field (CA/CPA qualified or working towards)
7+ years of experience in financial management, preferably in NDIS, disability, or funding-driven sectors
Additional Requirements
Exceptional communication and interpersonal skills — able to simplify complex financial issues for diverse audiences
Strong understanding of NDIS pricing arrangements, claiming requirements, and plan funding structures
Demonstrated leadership experience and a proactive, systems-focused approach
Experience managing grant funding and philanthropic contributions
Confidence in managing competing priorities and strict deadlines in a fast-moving organisation
Technical proficiency in Xero, Excel/Google Sheets, and financial reporting tools
Familiarity with payroll and compliance under the SCHADS Award

About the Role
We’re seeking a highly experienced People & Culture leader to join our management and executive team. You’ll bring a strategic, commercially minded approach to workforce planning, risk mitigation, and organisational development — while championing a safe, inclusive, and high-performing culture.
This is not a role for someone who wants to sit back — we need a hands-on builder who’s ready to get things moving quickly. You’ll be responsible for designing and leading Co-Hive’s recruitment, onboarding, and workforce development strategy from the ground up. As the first dedicated People & Culture Manager, you’ll have a rare opportunity to shape Co-Hive’s internal culture, hiring frameworks, and team structures to support our long-term goals.
You’ll work closely with the CEO and leadership team, leading the people and culture function across all departments and overseeing a full-time experienced HR Assistant and Hub and Social Engagement Coordinator. You will also oversee the implementation of our HRIS (Employment Hero) and manage compliance across SCHADS Award and NDIS standards. In addition, you’ll lead the successful application and roll-out of Co-Hive’s Public Benevolent Institution (PBI) status — including unlocking staff benefits and salary packaging opportunities.
We are a small but mighty team — currently fewer than 10 full-time staff — with strong values, big energy, and bold plans for growth. This is a true leadership position with significant growth potential. You’ll be fundamental to Co-Hive’s success and expansion over the coming years.
Key Responsibilities
Strategic Leadership & Culture
Develop and implement a whole-organisation People & Culture Strategy aligned with Co-Hive’s mission and strategic direction
Deliver a clear HR roadmap with milestones, metrics, and input from across the business
Champion a workplace culture that promotes psychological safety, high performance, and inclusion
Partner closely with the executive team to forecast staffing needs and support strategic workforce planning
Drive change and innovation in recruitment, onboarding, and retention across all departments
Oversee the implementation of Co-Hive’s PBI status and ensure associated staff benefits are set up and understood
HR Operations & Compliance
Build and embed HR policies, procedures, and frameworks to support a growing organisation
Lead implementation and use of Employment Hero as our HR system
Ensure legal and regulatory compliance with Fair Work Act, NES, SCHADS Award, and NDIS Practice Standards
Manage the full employee lifecycle, including recruitment, onboarding, probation, professional development, performance, and exit
Coordinate WorkCover claims and return-to-work processes as needed
Team Leadership & Development
Lead and mentor the People and Culture Administrator to ensure timely and accurate HR administration
Lead and mentor the Hub and Social Engagement Coordinator providing guidance, support, and development opportunities to ensure strong community engagement and alignment with Co-Hive’s values and strategic goals
Coach department leaders on performance management, leadership skills, and staff development
Design and oversee an annual professional development program to build staff capability
Monitor team satisfaction and wellbeing, and lead initiatives that support staff retention and growth
About You – Skills & Experience
You’re a confident, proactive, and values-driven People and Culture leader who is energised by growth and systems building. You’re excited about being part of something early-stage and meaningful, and you thrive in fast-moving environments where every day brings something new.
Tertiary qualifications in Human Resources or a related field
Minimum 4 - 5 years’ experience in an HR leadership or management role
Proven experience building HR functions, systems, and processes from the ground up
Strong working knowledge of employment law, compliance, and industrial relations (SCHADS/NDIS knowledge ideal)
Experience with HRIS platforms (preferably Employment Hero)
Excellent interpersonal and coaching skills — you build trust quickly and communicate clearly

The Administration & Social Engagement Lead is the central hub of activity at Co-Hive’s Alexandria site. You’ll be the face of the organisation - ensuring everything runs smoothly, every guest feels welcomed, and our events and systems are executed with excellence.
This is a unique leadership role that blends high-level administration with social engagement and event coordination. It’s perfect for someone who is highly organised, outgoing, solution-focused, and passionate about making a difference in the lives of young adults with disability.
1. Front-of-House Leadership & Hub Culture
Be the face and energy of the Alexandria Hub—setting the tone from the moment someone walks through the door. You’ll create a welcoming, professional, and inclusive environment that reflects Co-Hive’s values and builds connection with everyone who enters the space.
You will:
Welcome all participants, families, visitors, and staff with warmth, professionalism, and care.
Respond to all general enquiries —in-person, by phone, and via email—and ensure follow-up across teams is timely and accurate.
Maintain an organised, calm reception and communal space , ensuring it’s always hub-ready and accessible.
Develop a strong knowledge of weekly schedules, program locations, and key team members , and communicate changes clearly.
Build genuine rapport with participants and carers , becoming a trusted go-to person for everyday support or direction.
Support participants calmly during transitions or moments of challenge , always modelling inclusion, care, and safety.
Step into programs as needed , particularly during busy times or staff shortages, ensuring continuity and support.
You’ll be expected to manage all front-of-house interactions daily and uphold Co-Hive’s welcoming and inclusive environment at all times.
2. Hub Operations & Resource Coordination
Take charge of the day-to-day functioning of the Alexandria Hub. You’ll ensure our spaces are safe, stocked, and organised so participants and staff can focus on learning and connection.
You will:
Oversee daily logistics and upkeep of the hub, ensuring all rooms are clean, functional, and ready for use.
Maintain supplies and inventory , including uniforms, gifts, merchandise, stationery, cooking materials, and program equipment.
Order and restock items as needed , tracking usage and ensuring budget alignment.
Liaise with external contractors , such as cleaners, maintenance providers, and delivery services to ensure issues are resolved promptly.
Manage payments and receipts, stocktake, WHS documentation, site keys, and equipment logs to support safe and smooth operations.
Support program readiness by purchasing cooking items, printing worksheets, or arranging materials in advance of program delivery.
You’ll be expected to keep the hub fully stocked and operational each week and work proactively to solve logistical challenges.
3. Supervise & Develop Junior Admin Staff
Support the growth of our junior admin team members and interns by modelling strong organisational practices, professionalism, and accountability. You’ll create a positive and productive admin culture within the hub.
You will:
Assign and oversee daily tasks , ensuring clarity of responsibilities and timeframes.
Provide guidance, coaching, and feedback , helping junior staff build confidence and skill in an administrative setting.
Build clear handover systems and processes to track progress on daily and weekly admin priorities.
Model high standards in customer service, communication, and task follow-through.
Support the induction of new admin staff or volunteers , setting expectations and creating a welcoming environment.
You’ll be expected to supervise and support junior team members on a daily basis , ensuring admin tasks are completed on time and to a high standard.
4. Records, Systems & Data Management
Maintain accurate and timely records using Co-Hive’s digital systems. This supports compliance, communication, and tracking of participant engagement.
You will:
Ensure all participant attendance and engagement records are up to date , particularly in Shiftcare and Basecamp.
Follow up on absences , late notifications, or program changes with families and staff.
Keep digital filing systems organised in Google Drive, ensuring all forms and documentation are properly stored.
Support staff with onboarding to tech systems , including email, file access, and key digital tools.
Flag any inconsistencies or issues in data with the relevant teams for follow-up.
You’ll be expected to maintain up-to-date records daily , ensuring smooth operational flow and participant tracking.
5. Lead Social Engagement and Events Coordination
Take the lead on planning, coordinating, and delivering all Social Meetups and Independent Getaways, bringing energy, creativity, and strong organisation to every step. This is a leadership role that requires initiative, forward planning, and the ability to engage and connect with our young adult participants. Prior experience leading people or managing projects is highly valued.
You will:
Work closely with the Community Engagement Manager to coordinate all Alexandria-based hub events, including open days, expos, and professional learning events.
Lead the full lifecycle of our Social Meetups and Independent Getaways , from idea generation and budgeting through to bookings, risk management, staffing, and post-event follow-up.
Meet with participants to co-design events that support connection, fun, confidence-building, and independence—aligned with Co-Hive’s mission and values.
Coordinate and brief staff , manage RSVPs, and ensure clear communication with participants and families before, during, and after each event.
Collaborate with the Communications Team to promote all events effectively through social media, posters, and booking platforms such as Canva and Humanitix. You will also keep the website up to date with event information.
Manage logistics and compliance , including risk assessments, transport, support needs, dietary requirements, and budgeting, in collaboration with the finance and operations teams.
Maintain and update the Co-Hive Master Calendar to ensure events are scheduled in harmony with all other hub activities.
Be responsive and solution-focused , especially during events—either attending in person or arranging on-the-day coverage and handling any last-minute changes with professionalism and care. You will be the primary contact person on event days should any issues arise.
You’ll be expected to lead a minimum of 8 social meetups and 1 independent getaway per year , creating experiences that leave lasting memories and help our participants grow in confidence and independence.
6. Social Media & Communications Liaison
Ensure key hub updates, events, and program moments are captured and communicated to Co-Hive’s audience. You’ll support the flow of information between the hub and the communications team.
You will:
Capture content from programs and events , using consent-approved photos, quotes, and highlights.
Liaise regularly with the marketing team , sharing event details, celebration stories, and upcoming opportunities.
Assist with updates to the Co-Hive website , particularly events and enrolment pages.
Collaborate on promotional campaigns by providing timely and accurate information.
You’ll be expected to contribute weekly to Co-Hive’s internal and external communications , helping to grow our visibility and celebrate participant success.
Essential Skills & Attributes
Outstanding organisational skills with the ability to manage multiple tasks, events, and priorities in a fast-paced environment
Warm, engaging, and approachable demeanour , with the confidence to be the first point of contact for participants, families, staff, and visitors
Leadership capability , with experience supervising junior staff, providing feedback, and managing day-to-day workflows
Exceptional verbal and written communication , with strong interpersonal skills to engage a diverse range of people
Strong initiative and proactive problem-solving , especially during events or busy periods
Creative mindset with a passion for creating inclusive and engaging social experiences for young adults
Confidence using technology , including Google Workspace, CRMs, online booking systems (e.g. Humanitix), and design platforms (e.g. Canva)
Calm under pressure , with the ability to respond professionally in unpredictable or sensitive situations
Commitment to inclusion and accessibility , with respect for neurodivergent and disabled individuals
Team player , with the ability to work collaboratively across departments and maintain positive relationships
Requirements
Working With Children Check (WWCC) (or willingness to obtain before commencing)
Current First Aid Certificate (or willingness to obtain)
Valid Australian working rights
Willingness to occasionally work flexible hours for social events, meetups, or getaways (e.g. evenings or weekends)
Qualifications & Experience
Minimum 3 years’ experience in administration, front-of-house, customer service, or event coordination roles
Demonstrated experience supervising or leading staff , interns, or volunteers in a team setting
Experience working in people-facing environments , ideally in community services, disability, education, hospitality, or health
Strong digital skills , including comfort with CRMs, online calendars, file systems (e.g. Google Drive), and digital forms
Previous experience planning and delivering small- or medium-scale events is highly regarded
Cert IV or higher in a relevant field such as Business Administration, Community Services, Disability, Event Management, or similar (highly desirable but not essential)
Understanding of the disability sector or a willingness to learn about inclusive communication and support approaches

The Opportunity

As Co-Hive’s Inclusive Employment & Pathways Lead, you will be the driving force behind creating real-world opportunities for our participants. This is a role that blends strategic leadership with hands-on delivery - ensuring every participant has the support, tools, and connections they need to thrive in open employment, further education, and community life.

You will wear two key hats:
  • Dedicated Job Coach – placing participants at the centre of every decision, helping them prepare for, secure, and sustain meaningful employment.

  • Connector & Innovator – with deep knowledge of each Co-Hive program and participant needs, you will create and implement experiences and opportunities that enhance learning, putting theory into practice.

Based at the Co-Hive Hub, you’ll still be out and about - meeting employers, visiting workplaces, hosting excursions and field trips, and building community connections. This is a go-getter role for someone who thrives on variety, has excellent administrative and communication skills, and can juggle multiple stakeholders while delivering measurable impact.

Key Responsibilities

1. Community Connections & Opportunity Creation

  • Build and maintain a diverse network of employers, industries, training providers, tertiary institutions, and community organisations.

  • Develop and deliver excursions, incursions, industry visits, and work experience opportunities that align with participant goals.

  • Work across all Co-Hive programs to create hands-on, real-life learning experiences, enhancing program content and outcomes.

  • Research and identify opportunities for participants to explore career pathways, skills training, and further education.

  • Leverage your own networks to forge new connections and bring fresh opportunities to Co-Hive.

2. Individual Employment Planning

  • Collaborate with participants and their support networks to create Individual Employment Plans tailored to their skills, aspirations, and needs.

  • Support participants in developing self-advocacy, confidence, and transferable workplace readiness skills.

  • Identify skill gaps and link participants with training, mentoring, or workplace exposure opportunities.

3. Job Coaching & Employment Support

  • Match participants to roles that are both suitable and sustainable.

  • Support employers with job customisation, workplace adjustments, and onboarding processes.

  • Provide ongoing job coaching to help participants maintain and succeed in employment.

  • Collaborate with IEA providers, contribute to DES reform initiatives, and share best practice from the Centre of Excellence in Disability Employment.

4. Employer Engagement & Capacity Building

  • Partner with employers to create inclusive recruitment pathways.

  • Increase employer confidence and capability to hire and retain people with disability.

  • Promote wage subsidies and other employer incentives.

5. Program Development & Implementation

  • Create and implement new initiatives that expand work experience and employment pathways.

  • Document and measure program impact, using data to inform continuous improvement.

  • Support facilitators to integrate community connections and industry opportunities into program delivery.

6. Grants & Funding Collaboration

  • Identify and support grant applications that expand employment and education opportunities.

  • Collaborate with leadership to secure partnerships that grow Co-Hive’s reach and impact.

7. Compliance & Reporting

  • Maintain accurate records of all activities, risk assessments, and participant outcomes.

  • Lead monthly reporting on employment outcomes, employer engagement, and program success.

About You – Skills & Experience
  • Strong knowledge of disability and/or employment services (experience with DES, IEA, or related reforms highly desirable).

  • Proven ability to engage confidently with multiple stakeholders, keeping them well informed and most importantly, part of the entire process. 

  • Experience in employment, job coaching, vocational training, or community engagement.

  • Exceptional communication and relationship-building skills.

  • Initiative, self-motivation, and ability to work autonomously.

  • Demonstrated leadership skills, ready to build and lead a future team.

  • Driver’s licence and own vehicle (travel to worksites and community organisations required).
