Reporting to the Cluster Manager of Finance and Business Support, you will use your broad knowledge of financial processes to ensure all transactions are carried out within timeframes and follow our certified processes with ease.
This role is perfect for a finance assistant wanting to expand their career into the world of hospitality across multiple sites.
**Every day is different, but you'll mostly be:**
+ Supporting the Cluster Manager of Finance with the day-to-day financial operations of the hotels including accounts payable and receivable, reporting and liaison with the offshore processing team;
+ Support end of month processes, payroll reporting and financial analysis;
+ Upholding hotel standards with contributions to internal controls, internal audits and support a continuous improvement in financial performance; and
+ Enhancing the guest experience through improved payment options, inventory controls and financial dispute resolution
**What we need from you:**
+ Bachelor's degree / higher education qualification in Accounting, Finance or Commerce is required
+ Minimum 2 years experience in handling accounts receivable, accounts payable and other general finance duties
+ Strong analytical and numerical skills, possessing a high attention to detail and communications skills
+ Advanced level of computer literacy, including Microsoft Office (Advanced Excel including formulas, VLookups, charts and pivot tables)
+ An understanding of hotel operations and experience with Property Management Systems such as Opera is advantageous
+ Working from Holiday Inn Dandenong with travel to other sites required
+ Ability to manage own time and workload is a must
+ Full time working rights in Australia (sponsorship is not available)

**How will you make an impact in this role?**
The International Card Services (ICS) Finance team provides strategic and financial decision support to enable accelerated growth across the ICS business.
The Analyst ICS Finance reporting to the VP LFO ICS ANZ & India is responsible for supporting financial data analysis and delivery of materials for key leadership forums and meetings for the ICS COE finance team, in addition the role will support administrative responsibilities for the A/NZ ICS LFO team.
**Job Responsibilities**
+ Driving key financial reporting and preparation on ICS Strategy projects and planning processes.
+ Adhoc analytics projects work for the VP LFO.
+ Organize and maintain the ICS Finance LFO VPs' calendar, managing across American Express senior leaders and various time zones; proactively review calendar for conflicts that might occur in future weeks and make necessary adjustments.
+ Organize internal and external meetings including team events, making all necessary arrangements including sending invitations, identifying delegates as needed, booking rooms, ensuring needed equipment is in place and operational, and arranging catering.
+ Assist the ICS Finance VP with appropriate capturing of meeting minutes, if needed.
+ Maintain the departmental distribution lists and location summary.
+ Make travel arrangements including air, hotel and transfers.
+ Ensure timely preparation and processing of expense reports and invoices.
+ Event planning including Town Halls, Senior leader visits, planning workshops, etc.
**Qualifications**
+ Undergraduate degree in Economic/Commerce with major in Finance/Accounting.
+ CPA or CA qualifications completed or underway would be desirable.
+ Strong analytical and financial acumen.
+ Proficiency in using tools like Excel, Powerpoint and Outlook.
+ Coding and analytics in Cornerstone (preferred).
+ Excellent organization and time management skills.
+ A reliable and dependable team player with a positive outlook and a 'can do' attitude.
+ Able to interact with Senior Leaders and handle confidential and sensitive information with discretion and integrity.
+ An excellent verbal and written communicator with strong business writing and effective interpersonal communication skills.
+ Located in Australia, this is a hybrid role; Hybrid colleagues work a mix of in-office and virtual days, coming into the office three days per week on average.

About the Role
We are seeking an on-site Assistant Finance & Business Support Manager, to support the day to day activities of the finance team between QT Perth and Esplanade Hotel Fremantle by Rydges . This is a great opportunity for you to properly understand the Hotel business from both a full finance and operational aspect. We believe that the more you understand the business, the better the decisions you will be able to make as a senior member of the team. We are seeking someone who shares a passion for Hotels and aspires to obtain the experience with a view to progress their career later into a Finance & Business Support Manager role.
Key Responsibilities
• Manage the Accounts Receivable and Payable function on a day-to-day basis, including supervision of the Accounts Receivable and the Accounts Payable staff
• Supervise hotel bank reconciliations on a daily basis, ensuring accurate reconciliation of all presented cheques, banking & direct deposits, and coding/posting of miscellaneous debits within the Hotel's bank account
• Communicate and liase with various departments in the Hotel(s) to ensure accurate and timely reporting of financial information from the properties
• Manage and/or assist with the regional payroll function on a weekly basis, including;
• Ensuring appropriate & timely authorization of times entered into the payroll system
• Analysis and review of the times entered to ensure accuracy and appropriate interpretation by the payroll system of the wages and salaries of each hotel staff member
• Processing of manual adjustments to weekly payroll as & when required and authorized
• Maintenance of comprehensive and complete employee files
• Adhere to all payroll controls, wages and salaries disbursement procedure including compliance with the various award provisions applicable and tax legislation
Skills & Experience
• Previous Hospitality experience in a similar role
• Post-secondary degree in accounting. Masters graduates preferred
• A passion for numbers and reporting
• Excellent time management and communication skills
• Experienced in Opera, Sun Accounting, Infor, Power Bi & Emplive
