Responsibilities
+ Develop and maintain high quality up-to-date practical legal content, including guidance notes, checklists, precedents, legal updates and other tools
+ Prepare and maintain practically-focused content as well as practical resources for our popular Practical Guidance product that is Australia's most established and trusted 'how-to' of legal practice.
+ Provide support to Relationship Managers to help build brand awareness and influence market share across clients and stakeholders.
+ Participate in or contribute to in-market activities (eg masterclasses, webinars, customer feedback sessions).
Requirements
+ 3+ years PQE
+ Australian qualified lawyer
+ Recent experience in an Australian mid to top tier law firm or in-house counsel role or relevant corporate experience
+ A strong practice background or keen interest in governance, company secretarial and/or corporate counsel and proven ability to adapt to new practice areas
+ Excellent communication and plain-English writing skills
+ Aptitude for building and fostering relationships with a range of diverse clients and local and international stakeholders
+ Excellent analytical, problem solving and organisational skills.

As Executive Assistant to the Vice President of JPN, ANZ, and Enterprise Accounts & Services, you will be a trusted collaborator, providing high-level support that ensures the smooth running of daily operations. + Plan and manage team events, offsite meetings, conferences, and quarterly business reviews.
+ Process invoices and purchase orders through SAP in a timely and accurate manner.

+ Assist in preparing and formatting presentation slides, ensuring high-quality output.

**Required Knowledge and Experience:**
+ Minimum of 6 years' experience in a senior secretarial or administrative role supporting an executive (e.g. Country Director, Managing Director), ideally within a multinational commercial organisation.
+ Proven experience providing high-level administrative support, including diary, travel, and communication management.
+ Advanced proficiency in the Microsoft Office suite, with strong skills in preparing and formatting presentations.

**About the Role**
Provide timely and professional high-level executive administrative and clerical support to the Vice President, Calvin Klein, Vice President Tommy Hilfiger and Senior Vice President Direct to Consumer. You will enable efficient management of their schedules, communication, and operational tasks, to support effective leadership and business operations. You will be proactive identifying, anticipating and addressing the needs of the Executives, ensuring deadlines and business operations and workflows run smoothly.
Based at our Head Office in the heart of the CBD, located at 388 George Street, 2000, this is a full-time hybrid role working from home and in the office weekly.
**Duties & Responsibilities**
+ Manage and coordinate the complex calendars of three senior leaders, including scheduling meetings, appointments, and travel arrangements.
+ Prepare, edit, and distribute correspondence, reports, presentations, and other documentation as required.
+ Organise and facilitate internal and external meetings, including agenda preparation, minute-taking, and follow-up on action items.
+ Handle confidential and sensitive information with discretion and maintain professional integrity.
+ Liaise and communicate effectively with internal teams, external partners, and clients/customers on behalf of senior management.
+ Coordinate logistics for business travel, including approvals, transportation, accommodation, and itinerary preparation.
+ Assist in managing projects by tracking deadlines, deliverables, and coordinating with relevant stakeholders.
+ Support senior management in administrative tasks such as expense reporting, procurement requests, and office and teams supplies management.
+ Prioritise and manage multiple tasks, ensuring timely and efficient completion of duties.
+ Provide ad hoc support as required to facilitate smooth operations of the executive office.
**About You**
+ Minimum 5 years' experience as an Executive Assistant or in a similar role, preferably within the retail apparel industry.
+ Proven ability to manage multiple priorities and work under pressure in a fast-paced environment.
+ Strong organisational, communication, and interpersonal skills.
+ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and calendar management tools.
+ Demonstrated discretion and confidentiality handling sensitive information.
+ Strong attention to detail and problem-solving capabilities.
+ Ability to work collaboratively as part of a team and independently as needed.

The ideal candidate will be a seasoned professional with a strong understanding of company processes, policies, and procedures. This individual will be responsible for managing the day-to-day operations of the IP Metro function, providing administrative support, and ensuring seamless execution of tasks and projects.
**Job Responsibilities:**
+ As an Executive Assistant, your primary responsibility will be to provide comprehensive executive support to the Head of Metropolitan Investment Sales, as well as broader team support as required. This includes calendar and inbox management, coordinating meetings, preparing agendas, and taking accurate minutes, and coordination of travel & event bookings as well as liaising with HR and IT for new starter setups and onboarding.
+ Provide the operational and business administration support relating to the interim measures associated with M&A.
+ You will be responsible for reconciling expenses, processing invoices, distributing communications, and handling any ad hoc financial tasks that may arise, ensuring financial administration is carried out efficiently.
+ As part of your role as an Executive Assistant, you will also be responsible for maintaining an accurate and up-to-date client and opportunity database using Salesforce.
+ In this position, you will have extensive engagement and interaction with both internal and external clients and stakeholders. You will also have the opportunity to liaise with executive leaders and their teams, building strong relationships.

At Uniting , we’re here for everyone – and we’re looking for a highly organised, proactive, and relationship-driven Executive Assistant to play a pivotal role supporting our senior leaders across Mission and Chaplaincy.


This dynamic, hands-on role provides proactive, professional secretarial and logistical support to the Director of Mission and the Head of Chaplaincy and Pastoral Practice . Working closely with these senior leaders, you’ll ensure the smooth running of day-to-day operations through effective calendar and meeting management, communication support, and the confidential handling of sensitive information.


You’ll also provide valuable administrative support to the broader Mission Directorate team by streamlining workflows, coordinating team activities, preparing documentation and presentations, maintaining professional networks, and liaising with internal and external stakeholders. From meetings and workshops to local project support, you’ll help keep everything running seamlessly in a fast-paced environment.


What you’ll be doing




  • Manage complex calendars, identify priorities, triage correspondence, prepare briefing packs and coordinate travel and expenses for the Director of Mission and the Head of Chaplaincy and Pastoral Practice.






  • Prepare agendas, take minutes, track actions, and organise rooms/AV and catering.






  • Develop and maintain systems for timely, consistent, and accurate information flow.






  • Draft, format and proof professional communications, reports and presentations






  • Coordinate expense reconciliation, reimbursements, purchase orders and invoicing.






  • Work closely with the Project Manager – Strategy and Governance and the Administration Coordinator of the Mission Directorate to improve team operations, and collaborate with other Executive Assistants to ensure seamless executive support.






  • Support coordination of team calendars, leadership events, executive roadshows, and specific local team projects.






  • Uphold the ethos and values of the Uniting Church in Australia, including respect for human dignity, a commitment to diversity, and a passion for social justice.




What you’ll bring




  • Relevant qualification in business administration or a related field or equivalent experience.






  • 3+ years’ experience in an Executive Assistant or similar role, ideally supporting senior leaders in a fast-paced, complex environment.






  • Strong organisational skills, attention to detail, and ability to navigate competing priorities.






  • Excellent written and verbal communication skills.






  • Advanced Microsoft Office skills (Outlook, Word, PowerPoint, Excel) and experience with document management systems such as SharePoint and Microsoft Teams.






  • Sound judgement handling sensitive and confidential information with discretion.






  • A proactive, solutions-focused mindset with strong problem-solving skills and the ability to work both independently and collaboratively.






  • High emotional intelligence and interpersonal skills to build strong working relationships and contribute to a positive team culture.

  • Bachelor qualification (e.g. Business or Social Services)






  • Experience in a faith-based or not-for-profit environment and an understanding of the ethos and values of the Uniting Church in Australia.
