# Job Summary:
In this role, you will participate in subcontract formation and/or administration. Subcontract formation includes leading preparation and review of bid request packages and developing project contracts operating procedures. Subcontract administration includes continual progress review, forecasting, and communication of difficulties. Your work will ensure subcontract compliance with project requirements.

# Major Responsibilities:
**Subcontract Management**
+ Implements the Supply Chain Assignment Schedule which records the Project's agreed assignment of various subcontract management tasks and the Standard Work Process Procedures applicable to Subcontract Management
+ Manages assigned subcontracts maintaining a continual review of progress and providing management with information regarding projected financial or technical difficulties
+ Coordinates with designated staff on operational activities affecting contractual rights and obligations, subcontract performance, and other major matters
+ Manages less complex contract changes by negotiating with customer personnel and obtaining settlement
+ Communicates information programs to ensure mutual understanding of subcontract terms and conditions
+ Prepares periodic status reports for management
**Subcontract Formation**
+ Conforms and ensures subcontract execution
+ Directs negotiation in the commitment of subcontracts

About the role
We are seeking an experienced and detail-oriented Contracts professional, to join a tight-knit Commercial Team and provide contractual management and process support to the various business units of L3Harris IMSA. Through building and leveraging effective stakeholder relationships, you will work to minimise contractual risks to the company, continuously evaluating our controls and ensuring all commercial actions are in keeping with our company values and the highest ethical standards.
The remit of this role is challenging and diverse. Reporting to the Commercial Director, your role is focussed on the provision of contracts SME support to functionally and geographically dispersed parties, both internal and external. Day-to-day you could find yourself pivoting between negotiating leases, subcontract terms and supplier agreements, advising project managers on commercial strategies, ensuring the company's contractual and legal compliance and providing inputs to company litigation matters where required.

**Position Summary**
The Commercial Team of Jet Aviation Aircraft Services and Government Programs supports Jet Aviation in the delivery of comprehensive commercial and contractual advice along with other deliverables to the business functions of the Government Programs Business Development, Acquisition and Sustainment Programs.
Reporting to the Senior Contracts Manager, the Contracts Administration Officer supports the contracts compliance and administration functions of Contract delivery throughout the Contract's lifecycle.
The Contracts Administration Officer is self-motivated and driven to achieve complex contract and commercial performance capability services within a matrix organisation structure. You will maintain a well-developed understanding of and compliance to relevant and applicable legislative frameworks both domestically and internationally, partnering with your business portfolio in respect of all activities (contract arrangements, commercial plans / approaches and commercial governance / approvals/ performance end-to-end in support of current and future Defence Program/s).
The Contracts Administration Officer role serves as a pathway to becoming a Contracts Manager, offering the chance to develop skills and experience for progression into this more senior position within the Commercial Team.
**Main Responsibilities**
Provision of contract administration, document production and research assistance to support the Senior Contract Manger in their delivery of commercial advice and services to the Aircraft Services and Government Programs business.
**Contract Administration**
+ Open, maintain, and close contract files in accordance with internal procedures and records management policies.
+ Coordinate the internal review, approval, and execution of contractual documents, ensuring compliance with delegation of authority and legislation
+ Prepare and maintain internal reporting tools, matter status updates, and contract tracking dashboards for internal stakeholders.
+ Ensure accurate and timely document management, including filing, scanning, archiving, and secure destruction of records in line with company policy and legal requirements.
+ Support the development and delivery of contract management deliverables such as commercial plans, contract summaries, performance reports, and insurance documentation.
+ Maintain and update contract registers, document control logs, and other commercial records to ensure data integrity and accessibility.
+ Monitor contract milestones, obligations, and key dates, proactively notifying the Senior Contracts Manager and relevant stakeholders of upcoming actions or deadlines.

**Document Production**
+ Draft routine correspondence, internal memo's, and contract-related documents under the guidance of the Senior Contracts Manager.
+ Format, proofread, and finalise contract documents to ensure consistency, accuracy, and compliance with internal standards.
+ Prepare basic contract change proposals (e.g., exercising options, administrative amendments) under guidance from the Senior Contracts Manager, ensuring alignment with contractual terms.

**Research and Analysis**
+ Conduct research into contract terms, commercial frameworks, and Commonwealth policies to support the Senior Contracts Manager in providing advice.
+ Review contract and financial documents along with related correspondence to identify key obligations, risks, and opportunities.
+ Assist in the preparation of briefing notes, risk assessments, and commercial recommendations based on research findings and contract requirements.
+ Maintain a reference library of standard clauses, templates, and guidance materials for use by the Contracts Team.
+ Identify and summarise risks, issues and actions of contracts to prepare briefing documentation.
**Stakeholder Support**
+ Liaise with internal departments (e.g., Admintration, Finance, Legal and Operations) to gather information and coordinate contract-related activities.
+ Respond to routine contract queries from internal stakeholders, escalating complex matters to the Senior Contracts Manager.
**Corporate Compliance and Continuous Improvement**
+ Actively participate in and promote Jet Aviation's Corporate Governance, Compliance, and mandatory training programs.
+ Operate in accordance with Jet Aviation's Purpose, Mission, and Values, demonstrating ethical conduct and professionalism at all times.
+ Identify and suggest improvements to contract administration processes, tools, and templates to enhance efficiency and compliance.

**Minimum Requirements**
+ Completed or currently studying tertiary qualifications in a relevant discipline (Contract Management, Business Commerce, Law, etc.) from a recognised institution, and/or equivalent relevant commercial experience (Defence highly advantageous).
+ High level of literacy, numerously and comprehension skills.
+ Proficiency in the Microsoft suite (including Outlook, Word, Excel etc.) and SharePoint or willingness to learn.
+ Outcome focused, commercially minded, with negotiation and dispute resolution skills.
+ Demonstrated experience in the identification of cost drivers and analysis under commercial agreements.
+ Experience drafting contract terms, conditions, and identifying associated commercial risk as they relate to work scope and other documentation, with a balanced commercial approach (desirable).
+ Ability to manage multiple tasks simultaneously while effectively managing competing priorities within tight deadlines.
+ Excellent communication and influencing skills including the ability to prepare and present concise oral and written reports, briefs, updates and other documentation to internal and external stakeholders.
+ Holding, or able to obtain, an Australian Defence Force Security Clearance (which may be required up to an NV1 Level to be determined by the Company).

# Job Summary:
As a Prime Contracts Manager will support effective administration and management of the prime contract agreement between the client and Bechtel.
This position reports operationally to the Project Director and functionally to the GBU Manager of Prime Contracts where the duties and responsibilities include implementation of the Prime Contract Management Program and ongoing related training, monitoring compliance with project/prime contract completion requirements and status. In consultation with GBU Management / Legal, you will facilitate strategies for effective management of project commercial matters, including creation and capture of contemporaneous records.
# Major Responsibilities:
+ Responsible for/assists with the development and implementation of the Prime Contract Management Program for the project, consistent with the prime contract and Project Management Plan.
+ Assess prime contract general terms and conditions to highlight areas of risk such as ambiguities, conflicts, or deviations for the scope of work.
+ Coordinate with other project team members to identify commercial/contractual items that may arise during project execution and need to be addressed. Recommend approaches and implement actions as appropriate to document events, respond to the situation and/or request appropriate variations on the project.
+ Participate in project related meetings, prepare necessary materials, track actions and manage the working relationship with the relevant departments to facilitate prime contract administration.
+ Support implementation and management of a program to recognize and identify progress/performance concerns, prepare changes/variations as they arise and manage the timely resolution under the applicable provisions whenever possible.
+ Develop/maintain tools and processes to support contract compliance, sound administration and reporting for Project Director/Project Management Team, including logs, registers, dashboards, reports and other materials.
+ Coordinate the development and delivery of ongoing project training to address prime contract management principles, and facilitate the identification, preparation, and resolution of changes/variations and claims.
+ Coordinate effectively with Client and stakeholders to solve complex business-related issues.
+ Communicate effectively verbally and/or in writing regarding all commercial matters, including preparation of key materials - drafting of correspondence, memos, guidance notes, chronologies, narratives, and position papers related to project commercial matters and issues.
+ Assist with development and capture of contemporaneous records and production of information necessary to substantiate project commercial matters.
+ Manage/conduct extensive factual, technical, and contractual research; perform required analysis; prepare reports, presentations, and briefing materials.
# Education and Experience Requirements:
+ Requires bachelor's or master's degree (or international equivalent) and 13-15 years of relevant experience or 17-19 years of relevant work experience.
# Required Knowledge, Skills, and Abilities:
+ Extensive knowledge of commercial/business management functions with work experience of a progressively responsible nature.
+ Demonstratable experience of managing customer/prime contracts with similar commercial terms and incentivization models.

**Basic Job Requirements**
**What does that look like?**
The purpose of this position provides an oversight for contract management activities on our Fluor project. This role ensures, through assigned contract administrators, compliance with all statutes, regulations, and contract terms and conditions.
General Tasks/Duties include:
· Develop project contract templates
· Development & Issue of Tender documents for ECI through to Construction contracts
· Development and issue of BPRs
· Evaluate Budget Quotation Pricing and develop pricing summaries to support DPS Estimate
· Contract Administration of ECI packages
· Evaluate ECI deliverables in the development and negotiation of Construction contracts
· Support PCM with development of Contracting Strategy, Plan & general reporting requirements
· Tender, Award and administration of assigned Contract Packages
**Specific experience listed below will be advantageous to the successful candidate:**
- Prior work experience with BHP systems and processes (or Olympic Dam)
- Prior work within an IPT or JV environment.
- Shut-down contract management.
- Developing Contracting strategy and ability to implement including stakeholder engagement
