What You'll DoIn the role of Logistics Coordinator, your duties will include:
+ Maintains documentation to record all issues, receipts, transfers, and disposals of property in accordance with approved property accountability procedures for USG property.
+ Ensures material and equipment are catalogued to a standard nomenclature in automated Integrated Data Management System (IDMS) to enhance tracking, reordering, and excess identification processes.
+ Conducts weekly stock reviews to ensure accuracy of inventory records and that stock items are serviceable.
+ Creates and maintains a Critical Spares Inventory of parts essential to mission activities and stock items accordingly.
Requirements:
+ Must be a US or Australian Citizen
+ Must Possess a US Secret Clearance or AUS PV Clearance.
+ Must have a minimum of 5 years of logistics experience on large contract with OCONUS experience.
+ Strong organizational and logistical skills.
+ Knowledge of supply chain processes and related software.
+ Attention to Detail: Precision and attention to detail to ensure high-quality service delivery and compliance with safety standards.
+ Adaptability: Flexibility to adapt to changing conditions, technologies, and requirements.

In this role, you will be the interface between the logistics, inventory and warehouse teams, coordinating deliveries and time slot bookings on a national scale.

The Role

  • Coordinate and book all incoming and outgoing delivery timeslots for multiple sites

  • Investigate and recover all delivery rejections and discrepancies for multiple sites

  • Perform accurate data entry into Microsoft AX and internal reporting Excel spreadsheets

  • Maintain active communication with internal and external stakeholders

  • Compare freight quotes vs. invoices received from freight-forwarding agents; escalate discrepancies

  • Coordinate deliveries with RDA sites, warehouses, and transport

  • Provide an effective interface between logistics, inventory, and warehouse teams

  • Work closely with internal team members to provide customer-centric solutions on shipment data

  • Facilitate timeslot loads for internal warehouses, 3rd party logistics, freight forwarders

  • Respond quickly and effectively to all shipment inquiries and requests, escalating where required

  • Miscellaneous administrative duties will be evolved in areas such as Procurement, Freight-forwarding, warehousing, and general Operations


To be successful in this role, you will be a mature and reliable individual who can think on your feet and make sound decisions under pressure. You will have:

  1. Proven experience in a similar transport operations or logistics coordination role.

  2. A strong understanding of the road transport industry.

  3. Excellent communication and people management skills.

  4. A strong commitment to safety and compliance (OH&S and Chain of Responsibility).

  5. The ability to work independently and take initiative.

About the Business Unit:

The Security and Emergency Services Group (SESG) provides security services and incident and emergency response to the correctional system. SESG is responsible for providing immediate and longer-term support through its diverse portfolios such as emergency and incident response, High Security Escort of prisoners, state-wide training services, barrier control, search and canine services and management of firearms.

The SESG is an arm of Correction Victoria within the Department of Justice and Community Safety (DJCS). Corrections Victoria's vision is ‘Safer prisons, safer people, safer communities'. Our mission is to have ‘A safer, smarter system with a skilled and supported workforce, that enables people in our care to make better decisions'.

About the Role

Reporting to the Manager - Projects and Compliance, the Compliance and Logistics Coordinator has a lead role in the day-to-day management of the SESG compliance and logistics portfolios. This includes developing and maintaining strong compliance frameworks and ensuring SESG operations align with relevant policies and legislation. This requires collaboration and consultation with internal and external stakeholders.

The Compliance and Logistics Coordinator will also work closely with SESG colleagues and external stakeholders in coordinating the procurement, movement, and management of SESG assets and equipment to enable SESG's ongoing service delivery.

Some of your duties will include:

  • Under limited direction, lead the SESG compliance portfolio, including the development, review and continuous improvement of SESG manuals, procedures and frameworks ensuring compliance with Departmental policy and legislation.
  • Develop, manage and maintain an internal compliance auditing capability to ensure efficient, effective and accurate reporting on compliance to the SESG leadership team.
  • With limited direction, manage record keeping and coordination of SESG resources including equipment, vehicles, and other assets.
  • Under limited direction, lead the procurement of assets and equipment (including vehicles) for the SESG.

Qualifications/ requirements:

  • A full and current Victorian driver's licence or a minimum P2 driver's licence.
  • Knowledge of logistics and compliance frameworks is desirable.
  • Knowledge of Security and Emergency Services Group and Corrections Victoria is desirable.

About the Business Unit:

The Security and Emergency Services Group (SESG) provides security services and incident and emergency response to the correctional system. SESG is responsible for providing immediate and longer-term support through its diverse portfolios such as emergency and incident response, High Security Escort of prisoners, state-wide training services, barrier control, search and canine services and management of firearms.

The SESG is an arm of Correction Victoria within the Department of Justice and Community Safety (DJCS). Corrections Victoria's vision is ‘Safer prisons, safer people, safer communities'. About the Role

Reporting to the Manager - Projects and Compliance, the Compliance and Logistics Coordinator has a lead role in the day-to-day management of the SESG compliance and logistics portfolios. This includes developing and maintaining strong compliance frameworks and ensuring SESG operations align with relevant policies and legislation. This requires collaboration and consultation with internal and external stakeholders.

The Compliance and Logistics Coordinator will also work closely with SESG colleagues and external stakeholders in coordinating the procurement, movement, and management of SESG assets and equipment to enable SESG's ongoing service delivery.

Some of your duties will include:

  • Under limited direction, lead the SESG compliance portfolio, including the development, review and continuous improvement of SESG manuals, procedures and frameworks ensuring compliance with Departmental policy and legislation.
  • Develop, manage and maintain an internal compliance auditing capability to ensure efficient, effective and accurate reporting on compliance to the SESG leadership team.
  • With limited direction, manage record keeping and coordination of SESG resources including equipment, vehicles, and other assets.
  • Under limited direction, lead the procurement of assets and equipment (including vehicles) for the SESG.

Qualifications/ requirements:

  • A full and current Victorian driver's licence or a minimum P2 driver's licence.
  • Knowledge of logistics and compliance frameworks is desirable.
  • Knowledge of Security and Emergency Services Group and Corrections Victoria is desirable.

About Our Role

We currently have an opportunity for a permanent full-time Logistics Administration Coordinator to join our team at Chifley Park in Mentone, reporting to our Customer Logistics Manager.

This role supports the central APAC Logistics team by finalising claims for lost or damaged stock, assisting with transport planning during team absences, and managing key administrative tasks such as supplier invoice processing and purchase order management.

Your contribution will enable the team to focus on daily operations and continuous improvement initiatives that enhance the customer experience.

Investigate and close Salesforce cases across Customer Logistics and Warehouse/Inventory teams, ensuring resolution within 30 daysGather and assess documentation to resolve delivery discrepancies (e.g. lost, damaged, or incorrect stock)Provide transport planning coverage during team absences, including load planning and supplier coordinationConduct liability investigations for transport-related damages and make recommendations based on findingsManually process warehouse invoices, verify against system rates, and manage approvals for additional charges or overtimeManage vendor purchase orders and invoice processing to ensure timely and accurate flow-throughSupport 3PL warehouse inventory reconciliation activities


About You
