About the Opportunity
This is a part-time opportunity (21 hours per week), until August 2026 and will be based at our Fairfield Counselling and Mediation centre.
We are seeking a compassionate, emotionally intelligent, and highly organised Intake and Administration Officer to join our dedicated team at Uniting Counselling and Mediation in Fairfield.
As the first point of contact for clients, you will play a critical role in supporting children, families, and individuals. Many of whom may be in crisis, experiencing distress, or navigating the impacts of family separation. This role balances trauma-informed engagement with accurate administrative processes to ensure every client feels welcomed, supported, and understood.
You will conduct detailed intake interviews across various programs, screen for safety and risk factors, manage referrals, and provide key information about services, fees, and family law principles. Working closely with senior administrators and counsellors, your ability to calmly deescalate emotion and handle sensitive conversations will be essential.
About you in the role
- Conduct 3 intake appointments per day (approx.), each followed by case administration.
- Gather demographic details and assess presenting issues, including safety and risk screening.
- Create and manage client files, record case notes, and coordinate appointments and communication.
- Provide clear and supportive information about family law basics, services, and fees (including collection processes).
- Respond with empathy to clients from diverse backgrounds including CALD and LGBTQIA+ communities.
- Refer clients or family members to appropriate services when needed.
- Assist with general administration: reception, records, invoicing, communication, and supporting the senior admin officer.
- Maintain confidentiality, uphold mandatory reporting requirements, and follow internal protocols.
- Participate in monthly team meetings, regular intake supervision, and ongoing training.

You are calm under pressure, with the ability to sensitively hold space for individuals sharing traumatic or emotional information, all while maintaining the flow of structured intake. You’re down-to-earth, humble, and emotionally intelligent, with strong boundaries and excellent attention to detail.

What I Will Be Doing:
As a Support Worker working in an accommodation setting, i will support customers to live as independently and confidently as possible — helping them build daily living skills, stay healthy and safe, and stay connected to their community.
- I will support customers with personal care in a way that promotes dignity and independence. This could include showering, toileting, continence support.
- I will assist with safe manual handling using equipment such as hoists and transfer aids.
- I will work alongside clinical teams, families, and my peers to implement positive behaviour support strategies and create environments where each person feels respected, understood, and empowered.
- I will follow individual care plans to support health needs, such as epilepsy and wound care.
- I will administer medication safely and accurately according to medication management plans.
- I will prepare and support mealtimes according to mealtime management plans.
- I will help customers maintain a clean and safe home environment, for example light cleaning, laundry, shopping.
- I will assist with community access, social inclusion, and everyday outings. I am comfortable behind the wheel and happy to help customers get where they need to go — or open to learning how to drive a wheelchair-accessible van.
- I will encourage and enable daily living skills to build confidence and independence.
